DugoutPal respects your privacy and is committed to responsibly handling the information entrusted to us.
This Privacy Policy explains how Rogue Tech LLC, doing business as DugoutPal (“DugoutPal,” “we,” “us,” or “our”), collects, uses, discloses, retains, and protects information when you use the DugoutPal website, application, and related services collectively referred to as the “Service.”
By accessing or using the Service, you acknowledge the practices described in this Privacy Policy.
1. Scope of This Privacy Policy
This Privacy Policy applies to information collected through:
- The DugoutPal website;
- DugoutPal accounts and team workspaces;
- Team, roster, player-development, and practice-planning features;
- Artificial-intelligence-assisted features;
- Video upload and athletic-analysis features;
- Subscription and billing interactions;
- Customer-support communications; and
- Other services that link to this Privacy Policy.
This Privacy Policy does not apply to third-party websites or services that DugoutPal does not control.
2. Who Uses DugoutPal
DugoutPal is designed for adult coaches, team administrators, league administrators, organization representatives, and other authorized adults.
Children are not permitted to independently create or manage DugoutPal accounts.
Coaches and organizations may enter information relating to youth athletes as part of managing a team. The coach, organization, or other account administrator is responsible for having appropriate authority and obtaining any permission required to provide that information to DugoutPal.
3. Our Role and Organization-Managed Information
For account, billing, website, and customer-support information, Rogue Tech LLC generally determines how and why the information is processed.
For information entered into a team workspace, the subscribing coach or organization generally determines:
- Which players are added;
- What player information is recorded;
- Who may access the team;
- Which videos or files are uploaded;
- How player information is used; and
- When information should be corrected or removed.
In these situations, DugoutPal processes team and player information on behalf of the coach or organization operating the team workspace.
If you are a parent, guardian, player, or former team member seeking access to or deletion of team-managed information, we may direct your request to the applicable coach or organization. We may also assist with the request when appropriate.
4. Information We Collect
A. Account and Contact Information
When someone creates an account, starts a trial, subscribes, joins a team, or contacts us, we may collect:
- Name;
- Email address;
- Telephone number, if provided;
- Password or authentication information;
- Team or organization name;
- Coaching or administrative role;
- Account preferences;
- Profile information; and
- Communications with DugoutPal.
B. Team and Player Information
Authorized users may enter or upload information relating to their teams and players, including:
- Player names;
- Jersey numbers;
- Age group, graduation year, or team level;
- Positions;
- Roster assignments;
- Game statistics;
- Box scores;
- Performance information;
- Practice attendance;
- Player-development notes;
- Coach evaluations;
- Batting orders and lineups;
- Practice plans;
- Goals and areas of focus;
- Uploaded photographs, documents, or videos; and
- Other information selected by the coach or organization.
Users should not upload Social Security numbers, government identification numbers, financial account information, medical records, medical diagnoses, insurance information, or other highly sensitive information unless DugoutPal specifically requests it through a designated feature.
C. Video and Athletic-Movement Information
Certain features may allow users to upload baseball or softball videos, including swing footage.
We and our service providers may process uploaded videos to evaluate visible athletic movements such as:
- Stance;
- Balance;
- Load;
- Timing;
- Rotation;
- Swing path;
- Contact position;
- Follow-through; and
- Other movement patterns.
DugoutPal does not use video measurements to identify or authenticate individuals.
Depending on applicable law, information extracted from a video may be considered sensitive or biometric-related information. We use this information only to provide requested athletic-analysis features, maintain the Service, address safety or security concerns, and comply with applicable law.
D. AI Inputs and Outputs
When an authorized user uses an artificial-intelligence-assisted feature, we may process:
- Questions and instructions submitted by the user;
- Team and player information selected for analysis;
- Statistics and uploaded files;
- Player-development notes;
- Video frames or movement data;
- Generated practice plans;
- Generated batting orders or lineups;
- Swing-analysis results;
- Summaries, recommendations, and reports; and
- User feedback concerning generated results.
E. Subscription and Payment Information
DugoutPal uses Stripe or another authorized payment processor to process subscription payments.
Payment information may include:
- Billing name;
- Billing address;
- Payment-card details;
- Subscription plan;
- Trial and renewal dates;
- Transaction amount;
- Payment status;
- Partial payment-method details, such as the card brand and last four digits;
- Tax information; and
- Billing and refund history.
Payment-card information submitted through Stripe is processed by Stripe under its own privacy practices. DugoutPal generally receives payment status and transaction information rather than complete payment-card numbers.
F. Device, Usage, and Log Information
When someone accesses the Service, we may automatically collect:
- Internet Protocol address;
- Browser type;
- Device type;
- Operating system;
- Referring webpage;
- Pages or screens viewed;
- Dates and times of access;
- Features used;
- Links clicked;
- Session information;
- Error and crash information;
- Approximate location derived from an IP address; and
- Security and authentication events.
We use this information to operate, secure, troubleshoot, and improve the Service.
G. Cookies and Similar Technologies
We may use cookies, local storage, software development kits, pixels, or similar technologies to:
- Keep users signed in;
- Remember preferences;
- Maintain account security;
- Understand website and feature usage;
- Identify errors;
- Measure website performance; and
- Improve the Service.
Some cookies are necessary for the Service to function. Other cookies may be optional.
Where required by law, DugoutPal will provide a method for managing optional cookie preferences.
5. How We Use Information
We may use information to:
- Create and administer accounts;
- Provide team-management features;
- Maintain rosters, statistics, notes, and practices;
- Generate requested AI-assisted content;
- Process uploaded video and provide athletic feedback;
- Provide, manage, and renew subscriptions;
- Process payments and refunds;
- Communicate about accounts, billing, security, and Service updates;
- Respond to questions and support requests;
- Personalize the user experience;
- Detect, investigate, and prevent fraud, misuse, and security incidents;
- Monitor and improve performance and reliability;
- Develop new features;
- Enforce our Terms and Conditions;
- Comply with legal obligations;
- Protect DugoutPal, our users, players, and others; and
- Create aggregated or de-identified information.
We may use aggregated or de-identified information for analytics, research, security, product development, and Service improvement when the information cannot reasonably be used to identify a person.
6. Artificial Intelligence and Automated Processing
DugoutPal uses artificial intelligence and automated processing to provide features such as:
- Practice-plan generation;
- Team and player summaries;
- Suggested batting orders or lineups;
- Statistical analysis;
- Player-development recommendations;
- Swing analysis;
- Reports; and
- Coaching assistance.
AI-generated results may be inaccurate or incomplete. Coaches and other authorized adults are responsible for reviewing generated results before using them.
We may provide the information needed to complete an AI request to third-party AI service providers. Information submitted for AI processing may include team data, player data, statistics, notes, files, videos, or user instructions.
DugoutPal does not sell player information or use youth-player information for targeted advertising.
DugoutPal does not permit AI providers to use team or player content to train their general-purpose AI models unless we provide additional notice and obtain any consent required by law.
We may retain AI requests and outputs for a limited period to provide the requested feature, investigate problems, prevent abuse, maintain security, and improve DugoutPal.
7. How We Disclose Information
We may disclose information in the following circumstances.
A. Team Members and Organization Administrators
Information within a team workspace may be visible to:
- The team owner;
- Organization administrators;
- Assistant coaches;
- Team administrators; and
- Other users invited to the team.
Team owners and organization administrators are responsible for managing access and removing users who should no longer have access.
B. Service Providers
We may disclose information to companies that help us operate the Service, including providers of:
- Cloud hosting;
- Database and file storage;
- Authentication;
- Payment processing;
- Artificial intelligence;
- Video processing;
- Email delivery;
- Customer support;
- Error monitoring;
- Analytics;
- Security; and
- Professional services.
Service providers are permitted to process information only for authorized purposes and subject to applicable contractual obligations.
C. Legal and Safety Reasons
We may disclose information when we reasonably believe disclosure is necessary to:
- Comply with a law, regulation, subpoena, court order, or other legal process;
- Respond to a lawful government request;
- Enforce our agreements;
- Investigate fraud, abuse, or unauthorized access;
- Protect the rights, property, or safety of DugoutPal, our users, players, or others; or
- Prevent or address a security incident.
D. Business Transactions
Information may be disclosed or transferred as part of a merger, financing, acquisition, reorganization, bankruptcy, sale of assets, or other business transaction.
Any successor would be required to handle personal information consistently with this Privacy Policy unless it provides legally required notice of a change.
E. At Your Direction
We may disclose information when an authorized user requests or directs us to do so, such as when the user:
- Invites another coach;
- Joins an organization;
- Exports team information;
- Connects a third-party service; or
- Requests that information be sent to another person.
8. Sale of Personal Information and Advertising
DugoutPal does not sell personal information for money.
DugoutPal does not sell or share player information for cross-context behavioral advertising, targeted advertising, or advertising based on a player’s activities across unrelated services.
We may use general website analytics to understand how visitors find and use the public DugoutPal website. We do not use private roster information, player statistics, coach notes, uploaded videos, or AI analysis for advertising.
If our practices change, we will update this Privacy Policy and provide any choices or notices required by law before using information in a materially different manner.
9. Children’s and Youth-Player Privacy
DugoutPal is intended for adult-managed use by coaches and organizations. It is not designed to allow children under 13 to independently create accounts or submit information directly to DugoutPal.
Coaches and organizations may use DugoutPal to manage information about youth players. By submitting information about a minor, the user represents that the user:
- Is authorized to provide the information;
- Is using the information for legitimate team-management or player-development purposes;
- Has obtained any permission required from a parent or legal guardian;
- Will restrict access to authorized users; and
- Will correct or remove the information when appropriate.
If we learn that a child under 13 has directly created an account or submitted personal information without appropriate authorization, we will take reasonable steps to disable the account and delete the information.
Parents and legal guardians may contact us to request:
- Information about DugoutPal’s data practices;
- Review of information associated with their child;
- Correction of inaccurate information;
- Deletion of information; or
- Assistance identifying the team or organization responsible for the information.
We may need to verify the requester’s identity and relationship to the child. We may also need to coordinate with the coach or organization that controls the applicable team workspace.

10. Information Retention
We retain information for only as long as reasonably necessary for the purposes described in this Privacy Policy, including to:
- Provide the Service;
- Maintain team records requested by users;
- Support account reactivation;
- Complete transactions;
- Comply with legal and accounting requirements;
- Resolve disputes;
- Prevent fraud and abuse; and
- Enforce our agreements.
When a subscription is canceled, team information may remain available in a limited or read-only state so the team can review its records or reactivate its subscription.
A team owner or organization administrator may request deletion of the team and its associated information.
When information is no longer reasonably needed, we may delete, aggregate, or de-identify it. Information may remain in encrypted or restricted backups for a limited period before being overwritten through our normal backup processes.
Certain transaction, tax, security, fraud-prevention, and legal records may be retained for longer periods when required or reasonably necessary.
11. Account and Team Deletion
Authorized users may request deletion of:
- Their individual account;
- A team they own;
- Uploaded files or videos;
- Player records; or
- Other personal information.
Deletion requests may be submitted through available account settings or by contacting support@dugoutpal.com.
Deleting an individual account may not automatically delete a team when other authorized administrators remain associated with that team.
We may deny, limit, or delay a deletion request when retention is necessary to:
- Complete a transaction;
- Protect account security;
- Prevent fraud;
- Comply with law;
- Exercise or defend legal claims; or
- Preserve information requested by the organization that controls the team workspace.
12. Your Privacy Rights and Choices
Depending on where you live and subject to applicable exceptions, you may have the right to:
- Know whether we process your personal information;
- Request access to personal information;
- Request a copy of personal information;
- Correct inaccurate personal information;
- Request deletion of personal information;
- Request restriction of certain processing;
- Object to certain processing;
- Withdraw consent when processing is based on consent;
- Opt out of certain targeted advertising, sale, sharing, or profiling activities;
- Appeal a decision concerning a privacy request; and
- Receive equal service without unlawful discrimination for exercising a privacy right.
DugoutPal does not sell personal information or use private player information for targeted advertising.
To submit a privacy request, contact support@dugoutpal.com and include enough information for us to understand and respond to the request.
We may need to verify your identity before completing a request. An authorized agent may submit a request where permitted by law, but we may require proof of authorization.
We will respond within the timeframe required by applicable law.
13. Email and Communication Choices
We may send transactional messages concerning:
- Account verification;
- Password resets;
- Team invitations;
- Subscription status;
- Payment receipts;
- Security alerts;
- Service changes; and
- Customer support.
These messages are necessary to operate the Service and generally cannot be disabled while the related account remains active.
Marketing emails will include an unsubscribe method where required. Unsubscribing from marketing messages does not prevent receipt of account, billing, security, or other transactional communications.
14. Data Security
We use administrative, technical, and organizational safeguards designed to protect information from unauthorized access, loss, alteration, misuse, or disclosure.
These safeguards may include:
- Encryption during transmission;
- Access controls;
- Authentication protections;
- Database security policies;
- Logging and monitoring;
- Restricted administrative access;
- Backups;
- Vendor reviews; and
- Security testing.
No online service can guarantee complete security. Users are responsible for protecting their login credentials, securing their devices, and promptly removing access for former coaches or administrators.
Contact support@dugoutpal.com immediately if you believe an account or team workspace has been accessed without authorization.
15. Data Processing in the United States
DugoutPal is operated from the United States.
Information may be stored and processed in the United States and in other locations where our service providers operate. Privacy and data-protection laws in those locations may differ from the laws where you live.
Where required, we will use appropriate safeguards for international transfers of personal information.
16. Third-Party Services and Links
The Service may contain links to third-party websites or integrate with third-party platforms.
DugoutPal is not responsible for the privacy, security, availability, or content of services that we do not control. Users should review the privacy policies of third-party services before providing information to them.
The inclusion of a third-party link or integration does not necessarily mean that DugoutPal endorses or controls that third party.
17. Changes to This Privacy Policy
We may update this Privacy Policy as DugoutPal changes or as legal requirements evolve.
When we make material changes, we will provide notice through the Service, by email, or through another reasonable method. The effective date at the top of the policy will show when the latest version became effective.
Unless otherwise stated, an updated Privacy Policy becomes effective when posted.
